For most Danish businesses Microsoft 365 is the natural choice, since Teams, SharePoint and Office come with it and data can be kept within the EU Data Boundary. If you have strict demands for European ownership, a European mail provider may suit you better.

The account is blocked and the mailbox is converted to a shared mailbox that their line manager can open with the full history. Mail to the old address can be forwarded for a transition period so no customer enquiry goes astray.

DMARC stops others sending in your domain's name. Internally, a clear banner on external mail and a short briefing for staff help, because many fraud attempts start with a message pretending to come from the managing director.
