The more mandatory fields, the less truth in the CRM. A rep who must fill in fifteen boxes to save a deal starts typing dots and dashes. Three fields completed honestly are worth more than fifteen filled in for show.
Usually five to seven. With fewer you cannot tell where deals get stuck. With more, reps confuse them and move cards at random. Every stage needs a criterion that can be checked.
Find out what specifically gets in their way. Typically it is surplus fields, double entry or a system that gives the rep nothing back. Orders from above rarely help; simplification does.
Most companies can use what they already pay for. A specialist platform makes sense when sales cycles are long with many decision makers, or when your industry has particular demands. Start with what you have and switch only when it genuinely holds you back.
